How we use your data
We use your personal data only for clear, legitimate purposes and always with a lawful basis under UK GDPR:
Booking & package fulfilment
Processing your Umrah package — including booking flights with airlines such as Saudi Airlines or Turkish Airlines, reserving hotels in Makkah and Madinah, arranging ground transport, and managing group logistics.
Saudi Umrah visa processing
Submitting your visa application to the Saudi Ministry of Hajj & Umrah on your behalf, including sharing your passport details, photographs, and required documents with the Saudi embassy or authorised visa agents.
Flight & transport management
Sharing your personal and passport details with airlines for flight bookings, check-in, and APIS (Advance Passenger Information System) submissions required by UK and Saudi aviation authorities.
Communication & customer support
Sending booking confirmations, itineraries, pre-departure guides, travel updates, and responding to your queries, complaints, and special requests throughout your journey.
Legal & regulatory compliance
Meeting obligations under ATOL regulations, UK tax law (HMRC), anti-money laundering rules, and any requirements from Saudi or UK border authorities.
Marketing & promotions
Sending you information about new Umrah packages, seasonal offers, and Islamic travel news. You may unsubscribe at any time by clicking “unsubscribe” in any email or contacting us directly.
Sharing your information
To fulfil your Umrah package, we are required to share your personal data with carefully selected third parties. We never sell, rent, or trade your data for their own marketing purposes.
- Airlines — for flight bookings, check-in, and APIS government border submissions (e.g. Saudi Airlines, Turkish Airlines, Emirates, Fly Dubai)
- Hotels in Makkah & Madinah — to confirm your room booking and inform them of any special requirements
- Saudi Ministry of Hajj & Umrah — your details are shared with Saudi government systems as required for Umrah visa approval and pilgrim tracking
- Saudi embassy or authorised visa agents — for submitting and processing your visa application
- Ground transport providers — in Saudi Arabia, for airport transfers and movement between Makkah and Madinah
- ATOL/ABTA or relevant travel protection bodies — as required by UK law for package travel regulations
- Payment processors — such as Stripe or PayPal, for secure handling of payments (these providers are PCI-DSS compliant)
- IT and system providers — who support our booking management systems under strict data processing agreements
- Legal & regulatory authorities — including HMRC, UK Border Force, or Saudi authorities, only when required by law
International data transfers
By its nature, Umrah travel requires transferring your personal data to Saudi Arabia — a country outside the UK. This includes sharing your passport details, photographs, and visa documents with Saudi government authorities and service providers.
These transfers are necessary to perform your contract with us (i.e. to book your Umrah package and process your visa). Without them, we cannot fulfil your booking. By proceeding with a booking, you acknowledge this transfer.
We take appropriate steps to ensure your data is handled securely by our partners abroad and only shared to the extent necessary.
Data retention
We retain your data only for as long as necessary:
Booking records: 7 years after travel date
Passport & visa copies: 12 months after travel
Marketing data: Until you withdraw consent
Website analytics: Up to 26 months
Health/medical data: Deleted after travel date
Complaints records: 6 years from resolution
After these periods, your data is securely and permanently deleted or anonymised.

We take the security of your personal data seriously and use appropriate technical and organisational measures, including:

In the unlikely event of a data breach that poses a risk to your rights and freedoms, we will notify the Information Commissioner’s Office (ICO) within 72 hours and inform you without undue delay.
Children's privacy
We warmly welcome families on Umrah, including children. When you book on behalf of a minor (under 18), you confirm that you are their parent or legal guardian and consent to us processing their data as described in this policy.
We do not knowingly collect personal data directly from children. All bookings involving minors must be made by an adult guardian, and visa applications for children require the guardian’s documentation.
